EDI Spotlight: What is a 204 Load Tender?

In our first EDI deep-dive we breakdown one of the most common EDI integrations requested - a 204 Load Tender.
The 204 is a standard transaction that automates freight tendering between shippers and carriers. It lets shippers send load tenders electronically and carriers respond with acceptance or rejection.
How 204 EDI Works
The 204 EDI transaction contains key shipment details like pickup/delivery locations, dates, times, and special handling requirements. When a shipper sends a 204 EDI, carriers can automatically process it in their system and respond with a 990 EDI to accept or reject the tender.
Key Components of 204 EDI Messages
A 204 EDI tender includes:
- Shipment ID and reference numbers
- Pickup and delivery addresses
- Appointment dates and times
- Equipment requirements
- Freight details (weight, pieces, etc.)
- Special instructions
- Rate information
Benefits of Using 204 EDI
Implementing 204 EDI brings several advantages to your freight operations:
Faster Processing
Manual tender processing takes time. With 204 EDI, your system can automatically receive and respond to tenders in seconds. This speed lets you secure more loads and improve customer service.
Fewer Errors
Manual data entry leads to mistakes. 204 EDI eliminates typing errors by transferring data directly between systems. This accuracy reduces costly shipping mistakes and billing disputes.
Better Communication
204 EDI creates a standardized format for freight tenders. This consistency improves communication between you and your partners while reducing back-and-forth emails and phone calls.
Implementing 204 EDI
You have several options to start using 204 EDI:
Direct EDI
Large carriers often set up direct EDI connections with their main customers. This requires technical expertise but offers the most control.
EDI Service Providers
Third-party providers can handle EDI translation and transmission. They're a good option if you work with multiple partners using different EDI formats.
TMS Integration
Many Transportation Management Systems support 204 EDI. Popular platforms like McLeod, CargoWise, and PortPro will be familiar with this data format and will have technical teams that can kick off a integration process with your trading partner.
Modern Alternatives to Traditional EDI
While 204 EDI remains common, new technologies offer similar benefits with easier implementation. Melrose's AI-powered platform can extract tender information from various formats and sync it with your TMS, giving you EDI-like automation without complex setups.
With Melrose automatically being connected to a number of TMS systems, we've had customers accepting 204 Load Tenders from new partners within days, if not same day!
Best Practices for 204 EDI
- Test thoroughly before going live
- Document your EDI specifications
- Monitor transmissions for errors
- Keep your trading partner information updated
- Have a backup plan for system outages
Common Challenges and Solutions
204 EDI implementation can face obstacles:
Technical Complexity
Solution: Start with an EDI service provider or modern automation platform to reduce technical burden.
Trading Partner Requirements
Solution: Focus first on partners with standard EDI implementations before tackling custom setups.
Cost Concerns
Solution: Consider cloud-based solutions that offer pay-as-you-go pricing instead of large upfront investments.

US Reciprocal Tariffs
The U.S. is shifting to what it calls a reciprocal tariff system. Instead of continuing with lower, flat-rate tariffs, it’s now basing duties on how other countries treat American goods — even if that means going far above previous WTO averages.
